Art Show Rules

Fees and Participation

The Art Show has no fee for entry, however, Nan Desu Kan will take 10% of all art sales sold through the art show. Participation in the show is open to any member of the convention staff or volunteer crew as well as any convention attendee. The Art Show at Nan Desu Kan is on a first-come, first-served basis, so be sure to bring in your entries early!

Entries and Agent Information

Art may only be entered by the artists themselves, or by an agent acting on behalf of the artist. The agent information on the sign-in sheet will apply to any person who enters art on behalf of an artist, and/or picks up art on the artist's behalf. We will not release any art to anyone other than the artists themselves or the agent acting on behalf of the artist listed on the sign-in sheet. You must have ID with you to pick up art! Any art that is not picked up by either the artist or the agent by 6:00 PM on Sunday will be discarded.

Terms for Entries

Art Show entries will be accepted from science fiction, fantasy, and anime genres. We will accept entries from the following mediums: Drawing and Sketching; Painting; CGI or digital (Drawing into Photoshop, Painter or other digital art program); and Hand Created items including Crosspoint, Knitting, Sculpting, paper cutting, casting, etc. At this time we do not allow photos.

In the interest of encouraging new art and artists, we will be limiting the amount of art from previous years that each artist can display. Going forward everyone will be only allowed 2 pieces of art from previous years.

Any work that requires special care or display apparatus will need to be provided by the artists themselves. We will also accept prints and reproductions, however only one copy of each can be displayed in the show. Any artist who wishes to sell prints and reproductions of their works are encouraged to do so in the Artists Alley. Anyone wishing to inquire about the Artists Alley booths should visit the Artists Alley page for booth prices and contract information.

Space

For hanging/picture art each artist is allowed a maximum of two 4 ft. × 4 ft. panels on which to hang their art. For 3-D art each artist is allowed a maximum display space of one half of a table with a maximum number of 20 pieces. Any large 3-D art pieces that will not fit within the space of half a table must be approved by the art show staff before the convention.

Swipes

A swipe is a direct copy of official art, screen shot, or other fan art. Budding artists use this as a tool for learning, but it is still a violation of copyright. Any piece that is determined to be a swipe will be removed from display and returned to the artist. This policy will be effective for both Senior and Junior Artists.

Matting

A reminder to senior artists (17 and up), all art MUST be matted or otherwise suitable for hanging. There will be NO exceptions!

Submission Hours

Friday 2 pm to 9 pm
Saturday 9 am to noon

Viewing Hours

Friday 3:00-9:00 pm.
Saturday: 9:00 am-7:00 pm.
Sunday: 8:00-10:00 am.

Viewing hours are subject to change at the convention.

Auction Setup Period

The Art Show will be closed to the public after 10:00 a.m. Sunday. It will reopen from noon to 2:00 pm for the auction.

Artist Checkout

The time for artists to come in and pick up their art or their money for their art that sold over the weekend is Sunday, from 4:00 PM to 6:00 PM.

Awards and Prizes

Awards will be given in the following Art Show categories: Color, Mixed Media, Ink or Monochrome, CGI or Digital Art, and 3-D, as well as numerous Junior Artist Awards. Special awards and prizes will be given for the following categories: Frontier, Master's, Most Creative, Most Humorous, and the Happun Award. Last but not least, a special prize and award for Best of Show, as voted by attendee ballot!

Conditions for Entries

Art show entries must be mounted or otherwise suitable for hanging. If a piece is deemed unsuitable (as determined by the Art Show staff), it will not be allowed in the show. We will provide hooks and clips to hang your works, however, we will not be held responsible for any damage to any artwork that is not made suitable for hanging by the artist. For safety reasons, we will not allow any submissions that contain glass that cannot be hung with hooks, nor will we allow any submissions to sit on the floor. Exceptions may be granted for any freestanding submissions, however, these will need to be cleared through the Art Show staff.

Limitations for Entries

The Art Show staff reserve the right to disallow any submissions depicting themes that would not be accessible by, or are objectionable for, minors. Although we will do our best to be reasonable about submissions, we will also need you to keep in mind that there are young attendees at the convention.

Art that is not being sold

You are not required to sell your art for it to be allowed in the art show. Simply use the “NFS” (Not For Sale) entry forms and bid tags if you do not want to sell your art.

Selling Art

It is up to you, the seller of the art, to determine how much you want to sell your art for. All art for sale must have either a Quick Sale Bid price, a Minimum Bid price, or both. You are not required to put a Quick Sale Bid price on your art if it has a Minimum Bid price. If you do put a Quick Sale Bid price and a Minimum Bid price on your art please make sure that your Quick Sale Bid is higher than the Minimum Bid.

Pricing Terms

Bid prices are to be in whole dollar amounts. Please be aware that once you set a Minimum Bid or Quick Sale Bid price on the art, you must sell that piece at that price if it is bid on for that price. Just as a buyer cannot flake on their bid, you cannot take back or change a sell price once that bid is met. Please be aware that the price that you put on your art is for that piece of art. You cannot put a price on your art and intend for that price to be for something else (example: putting in an original piece and listing the price for the prints you're selling in artist's alley).

Disclaimers

The Art Show staff will safeguard all entries within their ability. We also have security staff on hand to help make sure none of the art pieces walk out the door. However, the Art Show staff, Nan Desu Kan, the hotel and all organizational staff will not be held responsible for any damage or loss. The staff will be allowed to handle the entries in order to add additional entries as they are received. If any mishandling by convention members is observed, please report it to the Art Show staff!
